Policies & Client Experiences Guidelines 

At Story Bloom Events, we believe exceptional events begin with clear communication, mutual trust, and a shared commitment to excellence. These guidelines are designed to help create a seamless experience from inquiry to event day.

Please note that these guidelines are intended to provide a general overview of our policies. Full terms and conditions are outlined within each client's signed Service Agreement.

Bookings and Retainers 

To officially reserve your event date, the following are required:

  • A signed Service Agreement

  • A non-refundable initial retainer payment

For events scheduled within thirty (30) days of booking, full payment may be required at the time of booking.

Event dates are not held or reserved until both the signed agreement and required payment have been received.

Proposal Expiration

All proposals, quotes, and service agreements expire seven (7) calendar days after issuance unless otherwise stated.

Pricing, availability, and services are subject to change until booking is completed.

Payments & Billing 

Payment Schedule

Payment schedules will be outlined within your Service Agreement and invoice.

Payments may be made securely through approved electronic payment methods provided by Story Bloom Events.

Additional Services

Should additional services, rentals, products, labor, or event support be requested after booking, additional charges may apply.

Any requested additions will be documented and approved prior to implementation whenever possible.

Late Payments

Failure to make payments by the agreed deadlines may result in suspension of services, cancellation of contracted services, or additional fees as outlined in the Service Agreement.

Design Process

Creative Direction

Story Bloom Events specializes in custom event design and production.

Design concepts, renderings, mood boards, inspiration boards, floral selections, décor elements, and creative recommendations are provided as artistic representations and may vary slightly due to:

  • Venue conditions

  • Material availability

  • Seasonal availability

  • Vendor inventory

  • Installation requirements

  • Safety considerations

Product Substitutions

In rare circumstances, substitutions of equal or greater value may be necessary due to product availability, damage, shipping delays, discontinued items, or circumstances beyond our control.

Any substitutions will be made with the overall design integrity and event experience in mind.

Venue Access Requirements 

Venue Coordination

Clients are responsible for ensuring venue access during agreed-upon load-in and load-out times.

Story Bloom Events is not responsible for delays resulting from:

  • Venue restrictions

  • Venue staffing issues

  • Delayed access

  • Security requirements

  • Other vendors

  • Client-related delays

  • Building regulations

Additional labor or overtime fees may apply when installation or strike schedules are delayed.

Event Day Services & Overtime 

Event Day Support

Services provided are limited to those outlined within the signed Service Agreement.

 

Overtime & Additional Labor

Additional fees may apply for:

  • Event extensions

  • Delayed load-in or load-out

  • Client-requested redesigns

  • Additional setup requirements

  • Additional breakdown requirements

  • Services outside the contracted scope

  • Venue-related delays affecting labor schedules

Any applicable overtime rates will be outlined in the Service Agreement.

Travel Destinations & Events 

Events located beyond 300 miles from Story Bloom Events' primary service area may be considered destination events.

Destination events may incur additional expenses including:

  • Travel

  • Lodging

  • Transportation

  • Shipping

  • Per diem expenses

  • Extended labor requirements

All destination-related costs will be discussed and approved in advance.

Rental Items & Client Responsibility 

Care of Rental Inventory

Clients agree to exercise reasonable care when using rental items provided by Story Bloom Events. The client assumes responsibility for loss, theft, misuse, or damage occurring during the rental period.

Damage or Missing Inventory

Replacement or repair costs may be charged for:

  • Damaged items

  • Missing inventory

  • Excessive cleaning

  • Irreparable damage

  • Lost rental components

Retrieval of Rentals

Rental items must remain accessible for scheduled retrieval. Additional fees may apply if inventory cannot be collected at the agreed-upon time.

Cancellations & Postponements

Cancellation Policy

Retainers are non-refundable and secure event dates, planning resources, and scheduling commitments.

Cancellation fees may apply based upon the timing of cancellation and services already performed.

Postponement Policy

If an event must be postponed:

  • Written notice must be provided as soon as possible.

  • Services will pause upon postponement notification.

  • Existing payments may be applied toward a new date, subject to availability.

  • Additional costs incurred due to postponement remain the responsibility of the client.

  • Original contract terms remain in effect unless otherwise agreed in writing.

Rescheduled dates are subject to Story Bloom Events' availability.

Weather & Force Majeure

Outdoor Events

Clients are responsible for securing weather contingency plans for outdoor events.

Story Bloom Events cannot guarantee event outcomes impacted by weather conditions.

Force Majeure

Story Bloom Events shall not be liable for delays, interruptions, cancellations, or inability to perform due to circumstances beyond reasonable control, including but not limited to:

  • Severe weather

  • Natural disasters

  • Public health emergencies

  • Government restrictions

  • Venue closures

  • Utility failures

  • Transportation interruptions

  • Labor strikes

  • Acts of God

  • Emergencies affecting key personnel

When possible, Story Bloom Events will make reasonable efforts to provide alternative solutions or accommodations.

Photography & Marketing Usage

Story Bloom Events may photograph completed installations, décor, event environments, and event details for portfolio, marketing, social media, website, educational, and promotional purposes.

Client privacy is respected, and any concerns regarding photography usage must be communicated in writing before the event date.

Safe Work Environment

Story Bloom Events is committed to maintaining a safe and respectful work environment for all team members, partners, vendors, and guests.

Story Bloom Events reserve the right to suspend or terminate services if circumstances create an unsafe environment, including:

  • Harassment

  • Threats

  • Physical aggression

  • Illegal activity

  • Unsafe venue conditions

  • Damage to equipment

  • Behavior that jeopardizes staff safety

In such cases, all contracted fees remain due and payable.

Intellectual Property 

All proposals, renderings, design concepts, timelines, mood boards, planning documents, creative materials, and proprietary processes developed by Story Bloom Events remain the intellectual property of Story Bloom Events unless otherwise agreed in writing.

These materials may not be reproduced, distributed, shared, copied, or used by third parties without written permission.

Dispute Resolution 

We value positive relationships and open communication.

Should a dispute arise, both parties agree to first attempt to resolve the matter through good-faith discussion.

If resolution cannot be reached, disputes may be submitted to mediation and/or arbitration in accordance with the laws of the State of Texas as outlined in the signed Service Agreement.
